Expression of Interest (EOI) – Temporary Food Vendor Opportunity

The Botanic Gardens and Parks Authority (BGPA) invite Expressions of Interest from qualified and experienced food vendors to operate temporarily within Kings Park during Moortabiny, as part of the Everlasting Kings Park Festival.

Overview 

This opportunity is ideal for vendors experienced in family friendly menus, offering high-quality food and beverage options that can cater to a culturally diverse family demographic.  

This is a ticketed event, with expected capacity for 2,000 each night. Successful vendors must be available across all 3 days with no flexibility for vehicle movement during the event period. 

Catering Sought 

We are seeking vendors who can offer: 

  • Child friendly food options, e.g. chicken nuggets and chips, smaller portions or menu items, sweet/savoury crepes, or ‘meal deals’ curated for kids.  
  • Quick to prepare, and easy to eat dinner friendly items, e.g. protein/vegetarian skewers, burgers, loaded fries, ready-made items for a quick grab and go style.  
  • Sustainable packaging: minimal waste, recyclable containers, minimal cutlery 
  • Products that are visually appealing, aromatic, and flavourful. 
  • High quality offerings at affordable prices. 
  • Dietary friendly options or alternatives including but not limited to vegetarians, vegans, gluten and/or dairy intolerances.  
  • Vendors able to provide both sweet and savoury option would be looked upon more favourably.  

Site Details 

  • Location: Pioneer Women’s Memorial, Lovekin Drive. 
  • Seating: Patrons encouraged to bring BYO picnic set up. 
  • Operation: Vendors must remain in position during operating hours unless otherwise approved by BGPA. 
  • Event readiness: Vendors must be ready to operate for the designated event date and time. 
  • Power: Some power available. Please state how much you require.  

Vendor Requirements 

All vendors must comply with the following: 

  • Current Food Act Registration Certificate 
  • Temporary & Mobile Food Premises Permit 
  • Public Liability Insurance (minimum $20M) 
  • City of Perth Registration, or current Registration from their local Shire 
  • Grease traps and sludge must be emptied off-site 
  • Must be fully self-sufficient and operate independently without requiring external power or tapped water connections for the entire duration of the event 
  • All equipment (including signage) must fit within the allocated space 
  • Completion of online and on-site induction 
  • Lodge a Temporary Food Vendor Permit application 
  • Must be able to manage, maintain and remove waste from the site
  • The vendor's space and facility must remain clean/neat and tidy for the duration of the event
  • When not in use the vendor's space must be packed up neatly and secured.

Prohibited Activities: 

  • Sub-letting stall space 
  • Use of amplifiers or loudspeakers 
  • Distribution of individually wrapped condiments 
  • Excessive promotional material 
  • Distribution of plastic bags, plastic straws or balloons 

Safety Compliance 

  • Electrical equipment must be test & tagged: 
  • Vendor-owned: within 6 months of bump-in 
  • Hired: within 3 months of bump-in 
  • Strictly no gas is allowed within the Botanic Garden. 

Selection Criteria 

EOIs will be evaluated based on: 

  • Suitability and pricing of products and services 
  • Proven ability to serve large crowds efficiently 
  • Ability to operate independently within the designated space 
  • Previous success operating in the City of Perth or other Local Government 

Site Fees & Payments 

  • The Licence Fee of 10% of gross turnover (gross revenue) is payable to BGPA post event.
