Please contact the Bookings Officer if you wish to cancel or postpone a booked event or to make a new booking. Full refunds will be returned for bookings cancelled by BGPA directly due to WA government directives.

All Kings Park visitors, function or event organisers and service providers must adhere to the Terms and Conditions. Penalties apply.

To protect this special park and its cultural and natural environment for the future, organisers are required to show care and consideration for the venue and other visitors when holding a function in Kings Park and Botanic Garden.

Step 1: Identify your function type

Booking details vary depending on the type of function you are planning:

Note: Specific conditions apply to medium-sized events (functions over 250 people).

Step 2: Find your venue

There are many different venues available for hire between the hours of 9.00 am and 6.00 pm daily. Bookings are limited for certain venues during busy times of the year, such as the Summer Events season and Kings Park Festival. Use the 'Find your venue' search tool to select options and find a venue most suitable to your individual needs. You may also like to browse the list of hire venues and review availability. Please note: availability information is provided as a guide only and cannot be guaranteed. If you cannot find the venue you are looking for, it may be a privately administered venue within Kings Park.

Step 3: Review the terms and conditions

It is your responsibility to be familiar with the terms and conditions of your booking to protect the important conservation values of Kings Park and avoid possible infringement. The organiser should be aware that they are booking a venue or area in a public space, open 24 hours a day, seven days a week. While the Authority endeavours to ensure that the area or venue is in the same condition as at the time of booking, there can be events, works or maintenance required that are outside of our control. It is the applicant's responsibility to ensure suitability of the location prior to the event.

Step 4: Identify the fees and charges

Fees are set in order to preserve Kings Park and Botanic Garden's natural environment and to assist us in ensuring that your function is successful. They cover administration costs and maintenance of venues, essential facilities and infrastructure. Fees and charges will vary according to the type of function you are booking. Fees and cancellation information is provided in the relevant application pack.

Step 5: Make a tentative booking

Tentative bookings are made by submitting the appropriate Application Form or contacting the Bookings Officer. Tentative bookings are held for ten working days. If your Application Form and payment are not received within 10 working days, or you do not cancel your tentative booking, then your preferred venue may be offered to someone else. Ensure that you include all necessary function details on your form. Infringements may occur if you fail to seek written approval for select items. You must agree to all terms and conditions and nominate an event organiser who is responsible for the event and its guests on the day.

Step 6: Booking confirmation

Confirmation of your booking and a receipt will be forwarded to you once the booking is processed. Please allow 10 working days and ensure that you have received your confirmation letter prior to proceeding with any other arrangements. Some bookings require a site meeting and will only be confirmed pending the outcome of your site meeting.

Step 7: Function and event co-ordination

The function or event organiser is responsible for ensuring guests and service providers, such as caterers and photographers, are familiar with the terms and conditions of the booking. If in doubt, please contact the Bookings Officer for further information.

Organisers will be contacted promptly should another function or event be scheduled that may impact your booking. Please contact a Park Management Officer if you require urgent assistance on the day by phoning 0418 923 973.
